GENERAL INSTRUCTIONS
 
(Medical students and doctors not yet in specialist training eligible)
Poster Theme 2011: 'PLASTIC SURGERY AND ALLIED HEALTHCARE SPECIALTIES'
(variety is encouraged)
Presentations can be on any case, audit, research in PRAS

Instructions to Authors for all oral and poster submissions

  • Abstracts must not exceed 250 words. We advise 12 point text times new roman or equivalent for the body of the text.

  • Oral presentations are limited to maximum of 15 slides total (including reference and title slide) and will have a strictly allocated presenting time of 10 minutes with 3 minutes for questions.

  • It is recommended that the following headings are used when submitting abstracts: introduction, method, results, discussion, conclusion.

  • To increase the likelihood of acceptance the abstract should capture the interest of the reviewers, be succinct, have a clear message. 

  • If this is a 'case report' please state this in the title.

  • Posters will be A1 (0.594m x 0.841m) in external dimension. 

Submission

    When you submit your abstract please ensure you included the following:

  • Abstract Title

  • Category of entry (poster /oral)

  • Presenter (Surname, forename, title, qualifications, university/post)

  • Address of presenter

  • Contact number of presenter

  • Email address of presenter

  • Co-author/s (Surname, forename, title, qualifications, university/post)

  • Abstract (no longer than 250 words)

    We will notify you on receipt (please allow 5 working days).

    All correspondence regarding an abstract will be with the designated presenting author of the
    paper/poster indicated on the abstract. It is a requirement that all listed authors have agreed the final
    content of any submitted abstract.
 
    Presenters must have a ticket for the event in order for their work to be accepted

 

 

    All work must be submitted to Competition@UPRAS.org
 
 
Abstract Submission deadline is: 15 September 2011
 
Final poster, Power Point presentation submission deadline 1 October
(final work in pdf or ppt format will then be considered for presentation at UPRAS 2011)

You will be notified by 1 November whether your work has been accepted for exhibition / presentation.

SUGGESTED GUIDELINES FOR SPEAKERS

CASE BASED DISCUSSION SESSIONS AT UPRAS

The case based papers will be of 10 minutes duration with 3 minutes discussion.   The speaker’s first concern is to convey the message clearly and concisely.  You can also improve the discussion by prior communications with the Chairmen of the session.
 
1)  You should contact the Chairmen prior to the session commencing and give them some
idea of any contentious points that may emerge for discussion.  You may tell the Chairmen
of some points which you plan to leave out of your presentation but would like brought up
in discussion – either by the Chairman or by other members of the audience by
pre‑arrangement.
 
2)  Practice before an audience, if possible, especially to adjust timing.
 
3)  Before the session, you should acquaint yourself with the audio‑visual arrangements if possible.
 
4)  Time‑keeping will be strict.  The speaker will be warned by the Chairmen (by hand
signal or warning light, if available) when he has 1 minute left.  If he over‑runs, another
signal will be given and, if necessary, the Chairmen will come over to speak to the
speaker.  Finally, the AV will be switched off. 
 
5)  Technique of presentation is obviously a personal matter but some guidelines which
are usually applicable are:
 
          1.     Introduce your paper by talking to the audience directly. This helps establish rapport before the lights go out and the presentation commences.
 
          2.     Avoid reading if at all possible.  Use brief notes if absolutely necessary.
 
          3.     Speak slowly and distinctly.
 
         4.     Use as few slides as possible.  Printed slides should contain few words and diagram should be simple.  Explain where necessary and give time for the audience to get the message.  Clinical slides should be of good quality and should make a point. 
 
         5.     Make sure that the main conclusion is emphasised.
 
6)   In discussion remember exactly what is being asked (making notes if necessary)
and answer the question directly.  Do not make extra points unless discussion is
floundering and then only through the Chairmen.

AUDIO-VISUAL INSTRUCTIONS FOR SPEAKERS
PowerPoint presentations are to be sent via email to the following address;
 
competition@UPRAS.org
 
Presentations must not exceed 40Mb (Megabytes)
You must clearly state your name, institution and date.
Once received and tested you will receive an email to confirm receipt.
 
Imperial College supports Windows Vista and XP operating system with Microsoft
PowerPoint. PPTX files will be compatible. You must ensure that Windows standard
fonts are used.
 
On the day you will be expected to bring a back up copy on either
• CD-R or CD-RW disks
• USB Sticks
Final versions of presentations must arrive no later than midnight on the 1st November
2010.
 
PowerPoint does not ‘embed’ video like it does with photos. If your presentation
includes an embedded video clip, you must ensure that the video clip is independently
saved and sent along with the presentation. You are also responsible for ensuring the
clip is playable on windows media player and a copy brought on a USB stick.
 
Laptop computers will not be accepted.
 
You must include a cover slide with the title, authors and UPRAS logo.
 
Finally, we would like to point out that sending your presentation to us in advance will
ensure the smooth running of this event; during conferences we are often
overwhelmed with speakers in the projection room wishing to view and load
presentations minutes before they are due to speak. Under no circumstances will this
facility be available.

ABSTRACTS, POSTER & PRESENTATIONS, WHAT NEXT

 
Please bring your A1 printed poster on the first day of the conference (26th) half an
hour before the official start. The poster will be returned to you at the end of the last
day.
 
All abstracts for oral presentation selected for presentation will be published on our
website.
 
All posters selected for presentation will be published on our website.
 
Posters not selected for competition might still be published in our education section,
under an educational topic (e.g. last year flaps). This will require for your poster to
be peer-reviewed and you will be informed if successful.
